1. About VENTAFIX

VENTAFIX is a software service developed and operated by José Bonilla. It helps participating businesses manage customer communications and operational processes, including appointments, availability, services, products, orders and WhatsApp conversations when those functions are enabled.

2. Businesses and Their Customers

A VENTAFIX customer is the merchant or business that configures and uses the service. An end customer is a person who communicates with that business, for example through WhatsApp.

VENTAFIX provides infrastructure and software to the business and processes information needed to deliver the functions selected and configured by that business. Participating businesses remain responsible for their own customer relationships and for complying with the privacy and communication rules that apply to them.

3. Account and Login Information

When a business owner signs in with Google, VENTAFIX may receive the Google account identifier, name and email address needed to authenticate the user, create or restore the VENTAFIX account and confirm access to the selected business.

4. Business and Professional Information

Businesses may provide information including business name, category, location, timezone, services, products, prices, schedules, availability, appointment or order rules and operational preferences.

Where professionals or employees are configured, VENTAFIX may process their name, telephone or WhatsApp number, email address, services, schedule, notification preferences and Calendar access preference where applicable.

5. End-Customer and WhatsApp Information

When an end customer communicates with a participating business through WhatsApp, VENTAFIX may process the telephone or WhatsApp number, profile information when available, message content, conversation context and information voluntarily provided during the interaction.

Depending on the business configuration, this may also include appointment or reservation details, requested services or products, availability questions, orders, support requests and transfer of a conversation to a human representative.

VENTAFIX does not sell personal information or WhatsApp message content.

6. How Information Is Used

7. Google User Data

VENTAFIX uses Google Sign-In, where applicable, to authenticate the business owner. If a business separately connects Google Calendar, VENTAFIX currently uses the authorized access to list calendars available to that account and to query free/busy availability for a calendar associated with a professional.

The current Calendar permissions are limited to viewing the list of subscribed calendars and checking availability. The current tenant-scoped integration does not create, modify or delete Calendar events.

Google account identifiers, account contact information, calendar names and availability results are used only to provide the requested authentication and Calendar functions. OAuth credentials are stored and refreshed on VENTAFIX servers using protected storage. Access and refresh tokens are not returned to the browser and are not sold.

Google user data is shared only with Google as required to perform the authorized request and with infrastructure providers needed to operate and secure VENTAFIX. It is not used for advertising.

Access can be revoked through the relevant Google account or by disconnecting the integration from VENTAFIX where supported.

8. Meta and WhatsApp

VENTAFIX may integrate with the WhatsApp Business Platform provided by Meta. Meta supplies WhatsApp events and delivers messages when those capabilities are enabled for a participating business. VENTAFIX stores integration credentials server-side using protected storage and does not expose them to the browser.

9. Google Sheets and Inventory

VENTAFIX is preparing optional inventory functionality that may use Google Sheets when enabled in the future. VENTAFIX will not describe that integration as connected until it is available and authorized. If enabled, its use and any additional Google permissions will be disclosed before authorization.

10. Automated Processing

VENTAFIX may use automated software and artificial intelligence to understand messages and assist businesses with communications and operational tasks. These systems are not designed to make legal, employment, credit, medical, financial or similarly significant decisions about individuals.

11. Cookies and Browser Storage

VENTAFIX uses a first-party cookie named vf_session to keep an authenticated user signed in and preserve the secure business session. It is strictly necessary, is not used for advertising or analytics and lasts approximately eight hours.

The legacy onboarding form may temporarily store a draft in the browser's local storage so progress is not lost. The draft is removed after successful submission and automatically expires after seven days. It is browser storage, not a cookie, and must not contain passwords, Google or Meta tokens, or service credentials.

VENTAFIX currently does not use advertising cookies, analytics cookies, Google Analytics or Meta Pixel.

12. Technical Logs and Audit Records

VENTAFIX may retain limited technical records needed for authentication, security, incident investigation, auditability, deduplication, idempotency and reliable operation. Logs are designed to avoid unnecessary message content, visible telephone numbers, tokens and secrets.

13. Service Providers and Data Sharing

VENTAFIX does not sell personal data. Information may be processed by Meta and the WhatsApp Business Platform, Google services when authorized, hosting and infrastructure providers, and technology providers necessary to operate and secure the service. Information may also be disclosed when required by applicable law or reasonably necessary to protect users, VENTAFIX or others.

14. Retention

Information is retained only for as long as reasonably necessary for the enabled service, legitimate operational records, security, dispute resolution and applicable obligations. Retention varies by category. Authenticated browser sessions last approximately eight hours, onboarding browser drafts expire after seven days, and current shadow-routing observations are retained for 30 days.

Account, business, professional, conversation, appointment, order, credential, audit and deletion-request retention may depend on the business relationship, enabled functions and applicable obligations. More specific periods will be adopted as commercial and legal requirements are finalized.

15. Security

VENTAFIX uses authentication, tenant access controls, restricted service credentials, protected token storage, separation of business data and other technical and organizational safeguards. No electronic system can guarantee absolute security.

16. Privacy Rights and Data Deletion

Depending on applicable law and location, individuals may have rights to request access, correction or deletion, withdraw consent where applicable, object to or restrict certain processing, or request information about how data is processed. Reasonable identity verification and legal exceptions may apply.

17. International Processing and Children

Technology and infrastructure providers may process information in countries other than the country where the user or business is located. Where applicable, reasonable measures are used to address relevant data-protection requirements.

VENTAFIX is a business communication and operational service and is not specifically designed or marketed as an online service for children.
